“They attended the training” is not an answer

Most software training ends with a register and a feeling. People sat through the walkthrough, nodded at the demo, and went back to their desks. The first real test comes weeks later — a learner record captured wrong, an enrolment that never reached the export, a register nobody knew how to pull — usually in front of an auditor or a funder. The training happened. Nobody can say whether it worked.

  • Generic product tours teach the menu, not the job a particular person owns.
  • Training sits apart from the work, so nothing is left behind to show for it.
  • Attendance is recorded; ability is assumed.
  • Managers find out who is not ready when something goes wrong.
  • New staff learn from whoever sits next to them, including their mistakes.

Quests done in the real product

A quest is a short, ordered piece of one job. Reading steps open the relevant guide; doing steps open the real page in your workspace, so finishing a quest leaves real work behind.

Checked against your records

Where a record can answer the question, skillSYMS looks before it agrees. Tick “register a learner” without registering one and the step stays open, with a message saying what was looked for.

A short check at the end of each quest

Three questions, all of which must be right. The explanation shows after every answer, and people can retry as often as they need. Whether they passed first time is recorded.

A certificate anyone can verify

Finish every required quest and claim a certificate: a downloadable PDF and a public verification page. It shows how many steps were verified against records and how many were taken on the person’s word.

Team Training for managers

People, Started, Completed, Certified, Overdue and No track matched, then a row per person with role, track, progress, due date and certificate. Assign a track with a due date when someone must be ready by then.

    Claim the certificate

    When every required quest is done, claim it, download the PDF and share the verification link. Managers see it in Team Training.

What this does not do yet

  • The certificate is a skillSYMS product training record. It is not an NQF-registered qualification, carries no credits, confers no assessor or moderator registration, and is not issued or recognised by the QCTO or any SETA.
  • Not every step can be checked automatically. Reading steps and some actions are recorded on the person’s word, and the certificate shows both counts side by side rather than hiding the difference.
  • Tracks are written by skillSYMS and are the same for every provider. You cannot yet write or edit your own role tracks; your own SOPs and learner content live in the separate Academy content area.
  • Overdue only appears when a manager has assigned a track with a due date. Without an assignment, training is self-paced.
  • Staff tracks run in the web app. The mobile app carries the Learner track only, and certificates are downloaded rather than emailed.
  • My Training and Team Training appear in workspaces where the Staff Academy module is enabled.

Questions providers ask

What is skillSYMS Staff Academy?
Staff Academy is the role-based training built into skillSYMS. Each person follows a track for their role, made of short quests that send them into the real product to do the work. Steps that can be checked are checked against your records, each quest ends with a short check, and a finished track earns a verifiable certificate.
Is the certificate a qualification?
No. It confirms that a named person, at a named provider, completed the skillSYMS operating track for their role on a given date, and how much of it was verified against real records. It is not NQF-registered, carries no credits and confers no external registration, and it says so on the certificate and on the verification page.
How does skillSYMS know a step was really done?
For steps a record can prove — uploading a logo, adding a campus, registering or enrolling a learner, generating an export — skillSYMS counts the matching records in your workspace before it accepts the tick. If none exist, the step stays open. Reading steps and actions no record can prove are recorded as self-attested.
Can a manager see who is ready?
Yes. Team Training shows every active person in the workspace with their role, their track, progress through required quests, any due date and any certificate, plus totals for started, completed, certified and overdue. Managers do not see individual answers or how many attempts a check took.
Who can open Team Training?
Executives, operations managers, academic managers, administrators and quality officers whose role carries permission to view Academy progress. Assigning a track needs permission to manage Academy.
Does the training create real records?
Yes, and that is the point. The Administrator & Registry track, for example, walks someone through branding the workspace, adding a campus, creating a programme, registering and enrolling a learner and generating an export, so finishing it and setting up your workspace are the same work.
Can learners use it?
Learners have their own Learner track under My Training in the learner portal and in the mobile app. They see only that track, because the staff tracks point at pages a learner account cannot open.
