Library management

A real library system for your campus

Catalogue your collection, issue and return by scanning a barcode, hold reservations, and track fines — against the same learner records your registrar already maintains.

Live in production. Includes barcode circulation from the mobile app and a learner-facing loans view.

Most campus libraries run on a book and a biro

Providers and colleges accumulate real collections — textbooks, prescribed titles, equipment, past papers — and then track them in a hardcover register, a shared spreadsheet, or the librarian’s memory. It works until somebody leaves, or an auditor asks what happened to the twenty titles bought on last year’s budget.

  • Nobody can say what is currently out, or with whom, without walking the shelves.
  • A learner completes and leaves still holding three books, and nothing flags it.
  • Reservations are a list on paper, so the same title gets promised twice.
  • Fines are inconsistently applied, which makes them impossible to defend.
  • The library sits outside every other system, so it knows nothing about who is still enrolled.

What the library module does

Catalogue

Your whole collection with the metadata that matters — title, author, edition, copies, location — and printable spine labels so the shelf matches the record.

Issue and return by scan

Scan the item barcode and the borrower, and the loan is recorded. It runs on a phone, so circulation happens at the shelf rather than at a desk.

Renewals and reservations

Renew a loan, or place a hold on a title that is out, with a queue that decides fairly who gets it next.

Fines

Overdue rules applied consistently, so a fine is something you can explain rather than something you negotiate.

Borrowers who are already learners

Borrowers resolve to real learner and staff records, so the library knows who is still enrolled and who has completed.

Reports

What is out, what is overdue, what is never borrowed, and what the collection actually costs you.

Getting a library running

  1. 1

    Load the catalogue

Import your existing list or capture titles as you shelve them, then print spine labels.

  2. 2

    Point at your people

Borrowers come from the learner and staff records you already keep — no second directory.

  3. 3

    Circulate by phone

Issue, return and renew by scanning, from wherever the item is.

  4. 4

    Watch the collection

Reports show what is out, what is overdue and what nobody has ever borrowed.

Questions providers ask

Is this a full library system or a lending log?
A full one. It covers cataloguing, circulation (issue, return, renew), reservations and holds, borrower records, fines, spine labels and reporting. It is not an academic discovery layer and does not federate external catalogues.
Do we need barcode scanners?
No. The skillSYMS mobile app scans item and borrower barcodes with the phone camera, so circulation works with the devices your staff already carry. Dedicated scanners work too if you prefer them.
Can learners see what they have out?
Yes. Learners have their own library view showing current loans, due dates and any fines, in the same portal they use for their evidence and results — so “what do I still have out” stops being a question for your desk.
How do fines work?
Fines are calculated from overdue rules you set, and are tracked in the library module. They are recorded standalone rather than posted into student billing, so they do not silently create a debtor record.
Does it work for equipment as well as books?
Yes. Anything you can label and lend can be catalogued and circulated — tools, tablets, PPE, laptops. Providers running trade qualifications tend to use it for equipment more than for books.
What happens when a learner completes?
Because borrowers resolve to real learner records, you can see outstanding loans against learners who are completing, before they walk out the door rather than after.
