TVET & private colleges
Built for the reporting a college actually does
ICASS cycles and mark capture, DHET-compliant EDLES exam files, NSFAS funding and evidence packs, attendance, a campus library and student billing — on one student record.
ICASS, EDLES, NSFAS, DHET reporting, library, attendance and finance are all live in production.
Trusted by leading skills development providers

A college reports to more people than anyone else in the sector
DHET wants HEMIS. Exams want EDLES in a fixed format. NSFAS wants disbursement evidence. ICASS marks have to be captured, moderated and defended. And the systems that handle each of those are usually different systems, so the same student is keyed in four times and the four records diverge within a term.
- ICASS marks captured in spreadsheets, moderated by email, defended from memory.
- EDLES files assembled by hand, where one malformed field rejects the batch.
- NSFAS evidence gathered in a scramble whenever an audit is announced.
- Attendance registers that cannot support a funding claim.
- A library, a finance office and a registrar who each keep their own list of students.
What a college gets
ICASS
Assessment cycles, mark capture including bulk upload, moderation workflow, and term marks tracked against attendance.
EDLES
DHET exam data files — candidate entries, year marks and exam marks — parsed, validated and generated in the required format.
NSFAS
Funding status, disbursement sync and evidence packs assembled for audit rather than reconstructed for it.
DHET & HEMIS reporting
Institution profiles and statutory returns produced from the student record instead of from a parallel spreadsheet.
Campus library
Catalogue, circulation, reservations and fines, with issue and return by barcode scan — borrowers resolve to real students.
Student billing
Fee schedules, payment plans, sponsors, financial holds and collections, against the same student the registrar sees.
How a college runs on it
- 1
One student record
Registration, enrolment and programme, read by every other module rather than copied into it.
- 2
Deliver and assess
Attendance, ICASS cycles, mark capture and moderation, all against that record.
- 3
Report outward
EDLES, HEMIS, NSFAS evidence and statutory returns generated from what is already there.
- 4
Close the loop
Results, credentials with public verification, and alumni tracer studies.
What this does not do yet
- Residence management is not a module. Colleges running large residences generally keep a specialist system for that alongside skillSYMS. Timetabling is a module — master timetable, conflict checking and an AutoScheduler.
- Where a college also delivers QCTO occupational qualifications, those run in the same system on the same student record — but the two reporting regimes stay distinct, because they are distinct.
Questions providers ask
Does this work for both public TVET and private colleges?
What is EDLES and do you generate it correctly?
Can we run ICASS moderation in the system?
How does NSFAS evidence work?
Can we also deliver occupational qualifications?
What about students who are also library borrowers and debtors?
