Summary
ProfileOS is your own record on skillSYMS, as distinct from the records an organisation keeps about you. It is a composition layer: it does not replace the learner record your provider holds or the staff record your employer holds, it sits across them so that you have one place to see and control what is being shown about you.
It is available to everybody on the platform — learners, staff, assessors, supervisors, platform users — at My Profile. There is no capability that unlocks it, because consent is not a privilege.
Who This Guide Is For
Everybody with a skillSYMS login.
Step 1: Open Your Profile
Navigate to My Profile.
The overview shows who you are on the platform, which organisations you are connected to and in what role, and what is currently visible to each of them.
Step 2: Check Your Identity Details
Navigate to My Profile → Identity.
This is your name, your contact details and your identity documents. Two things worth knowing:
- Your identity number is encrypted. The platform shows you only the last four digits. That is not a display preference — the full number is not retrievable by an ordinary screen, deliberately.
- Corrections go through a request, not an edit, where the field is one an organisation relies on. You raise a change request; the organisation approves it. That is what stops a record being quietly altered after an assessment decision was made against it.
Step 3: Decide What Each Organisation Sees
Navigate to My Profile → Privacy.
You may belong to more than one organisation — a provider you studied with, an employer you work for, a provider you now teach at. Privacy is set per organisation and per field. Being a learner at one does not entitle another to your learner record.
Step 4: Share Deliberately
Navigate to My Profile → Sharing.
Sharing produces a link or a grant with a scope and, usually, an expiry. Use it to give a prospective employer your credentials without giving them your file. Every share is listed here and every one can be withdrawn.
My Profile → Data Receipts is the other half of the same idea: a record of what was shared, with whom and when. It is worth reading occasionally even when nothing is wrong.
Step 5: Carry Your Credentials
Navigate to My Profile → Credentials.
Everything the platform has issued you — statements of results, certificates, training certificates, badges — in one place, each with its verification link. Anyone can check a credential from that link without an account.
My Profile → Card is your printable identity card.
Step 6: Set Preferences and Secure the Account
My Profile → Preferences controls how the platform contacts you and how your workspace is laid out. My Profile → Security covers your password, your sessions and your connected devices.
If you belong to several organisations, the workspace switcher lets you move between them without signing out. Your profile is the same in each; what differs is what that organisation may see.
What Good Looks Like
- You know which organisations can see you, and what each one sees
- Shares have expiries, and old ones have been withdrawn
- Your credentials are in one place with working verification links
Common Mistakes
- Assuming the provider’s record and your profile are the same thing. They are not, and the difference is what gives you control.
- Sharing without an expiry. A permanent grant to a recruiter you spoke to once is a permanent grant.
- Editing an identity field expecting it to change immediately. Where it matters, it goes through approval.
