Create Offerings & Intakes

Turn a QCTO catalogue qualification into an offering, then configure delivery mode, sites, pricing and intake dates for your cohorts.

An offering is your provider’s published version of a catalogue qualification — the thing learners actually enrol into, with a delivery mode, training sites, pricing and intake dates. This guide walks you through creating an offering from the QCTO catalogue and configuring it for your cohorts.

Prerequisites

Before you begin, ensure you have:

  • An SDP login with offering-management access
  • The qualification identified in the QCTO Catalogue
  • Delivery details: mode, sites, price and next intake date

Step 1: Start a New Offering

Navigate to Offerings → New Offering (/sdp/offerings/new).

The form is a two-step layout: first select the qualification, then configure the offering.

Tip: You can jump straight here from a catalogue item — the catalogue passes the qualification through so step 1 is pre-selected.

Step 2: Select the Qualification

Under 1. Select Qualification:

  1. Type in the Search Catalogue box to find a qualification.
  2. Pick a result — the selected item card shows the title and metadata.
  3. Use the clear button if you chose the wrong one.

Step 3: Configure the Offering

Under 2. Configure Offering, set:

  • Status — Active (ready for enrolments), Pending Accreditation, or Paused (not accepting enrolments)
  • Delivery Mode — Full-time, Part-time, Distance / Online, Blended Learning or Workplace Based
  • Price (ZAR) — leave blank if negotiable or variable
  • Training Sites — a comma-separated list of locations (for example, Pretoria, Johannesburg)
  • Next Intake Date — when the next cohort starts (optional)
  • Notes — any additional information

Tip: Set the status to Pending Accreditation while you await sign-off — it keeps the offering visible internally without opening enrolments.

Step 4: Save and Open Enrolments

Click Create Offering. Once the status is Active, the offering becomes selectable in the “From Offering” programme-creation flow and is ready for learner enrolments.

Tip: Capacity, sites and intake dates flow through to the programme detail page’s KPI tiles, so keep them accurate.

Step 5: Plan Multiple Intakes

For recurring cohorts, create a separate offering (or update the next intake date) for each intake so each cohort has its own start date, capacity and site mix. This keeps reporting and capacity tracking clean per cohort.

Common Mistakes to Avoid

  1. Leaving status on Pending or Paused — learners can’t be enrolled until the offering is Active.
  2. Free-text site names that don’t match your campuses — keep site names consistent across offerings.
  3. No intake date — without one, cohort scheduling and capacity views are harder to read.
  4. One offering for many distinct cohorts — split intakes so each has its own dates and capacity.

Verification Checklist

Before proceeding, verify:

  • A qualification is selected from the catalogue
  • Status, delivery mode and sites are set
  • An intake date is captured (where applicable)
  • The offering status is Active when ready to enrol
